SoftSquare Shipping Gateway Privacy Policy
Last Updated: September 14, 2026
This Privacy Policy explains how SoftSquare processes information through the SoftSquare Shipping Gateway WordPress/WooCommerce plugin and the related SoftSquare Shipping Gateway service.
The plugin is designed to connect WooCommerce stores with TCS Pakistan for shipment booking, shipment management, tracking, and related courier services.
1. Who We Are
The SoftSquare Shipping Gateway plugin and related service are operated by SoftSquare.
For questions about this Privacy Policy or the processing of information through the service, contact:
SoftSquare
Website: https://softsquare.io/
Email: info@softsquare.io/
2. Information We Process
Depending on how the plugin is configured and used, the service may process the following categories of information.
Store and website information
When a store connects to the SoftSquare Shipping Gateway, we may receive:
- Website URL
- Website domain
- Website/store name
- Administrator contact email
- WordPress version
- Plugin version
- Platform information
This information is used to register and identify the connected store and operate the service.
3. TCS Account Information
When a merchant configures the plugin, the following information may be transmitted to the SoftSquare service:
- TCS API username
- TCS API password
- TCS bearer token
- TCS account number
- Customer number
- Cost centre code
- Courier environment
- Collection/shipper information
- Collection address
- Collection city
- Collection country
- Collection telephone number
- Shipment configuration and booking defaults
These credentials are required so the SoftSquare service can authenticate with TCS and perform courier operations on behalf of the merchant. The plugin documentation states that credentials are transmitted when the merchant saves the settings.
4. Customer and Order Information
When a shipment is booked, the SoftSquare service may process information associated with the WooCommerce order, including:
- Order number
- Order reference
- Customer first name
- Customer last name
- Shipping address
- City
- Postcode
- Country
- Telephone number
- Email address
- COD amount
- Order total
- Currency
- Parcel weight
- Number of pieces
- Service code
- Cost centre
- Shipment contents
If the merchant enables SKU inclusion, the service may also receive:
- Product description
- Quantity
- Unit price
- SKU
This information is used to create and manage the shipment and provide the courier with the information required for delivery.
5. Tracking Information
When a shipment is tracked, the service processes the shipment’s consignment number.
The plugin may also perform periodic status checks for shipments that are still in transit. These checks use the relevant consignment numbers to retrieve updated shipment statuses.
When a customer uses the public tracking feature provided by the plugin, the tracking request contains the consignment number entered by the visitor. The public tracking lookup does not send the customer’s name, address, email address, or other order information to the SoftSquare service.
6. Shipment Labels
When a shipping label or consignment note is generated, the service may process the relevant consignment number.
The plugin can store generated label PDFs locally on the merchant’s WordPress website so that authorized administrators can reprint them without repeatedly requesting the document from the external service. The label may contain shipment information such as the recipient’s address and COD amount.
Access to stored labels is restricted by the plugin to users who have the appropriate WooCommerce order permissions.
7. Why We Process This Information
Information is processed for legitimate operational purposes, including:
- Registering and authenticating a connected WooCommerce store.
- Connecting the merchant’s store to the SoftSquare Shipping Gateway.
- Authenticating with TCS.
- Creating courier shipments.
- Processing COD shipments.
- Printing shipping labels.
- Tracking shipments.
- Updating shipment statuses.
- Processing cancellations and re-bookings.
- Processing reverse pickups.
- Sending configured shipment status notifications.
- Providing technical support and troubleshooting.
- Protecting the security and integrity of the service.
8. When Information Is Sent
The plugin does not send customer information merely because a customer places an order.
Shipment information is sent when the merchant or the merchant’s configuration initiates an operation, such as:
- Booking a shipment.
- Performing a bulk booking.
- Automatically booking an order after a configured order-status change.
- Re-booking a shipment.
- Cancelling a shipment.
- Booking a reverse pickup.
- Requesting shipment-related information.
The plugin documentation states that no analytics, usage statistics, or telemetry are sent.
9. Sharing Information With TCS
The SoftSquare Shipping Gateway acts as an intermediary between the merchant’s WooCommerce website and TCS.
Information required to create and fulfill a shipment is transmitted to the SoftSquare service and may then be transmitted to TCS for courier processing.
TCS may process information under its own privacy policies and terms.
Merchants should also review the privacy and data-processing requirements applicable to their use of TCS services.
10. Data Retention
SoftSquare retains information only for as long as reasonably necessary for the purposes for which it was collected, including providing the service, maintaining shipment records, resolving disputes, maintaining security, meeting legal obligations, and enforcing agreements.
Retention periods may vary depending on the type of information and the nature of the service.
Information may be retained for longer where required by applicable law or where necessary to establish, exercise, or defend legal claims.
The merchant’s own WordPress installation may retain WooCommerce order information, consignment numbers, shipment statuses, activity logs, and locally stored shipping labels according to the merchant’s own configuration and website policies.
The plugin’s activity-log retention can be configured by the merchant, while shipment information stored on WooCommerce orders may remain as part of the order record.
11. Information Stored on the Merchant’s Website
The plugin may store information locally on the merchant’s WordPress website, including:
- Plugin settings
- TCS configuration
- Consignment numbers
- Shipment statuses
- Shipment metadata
- Activity logs
- Locally stored shipping labels
TCS credentials are stored in the WordPress site’s settings and are protected by the plugin’s credential-handling mechanisms.
The plugin also redacts credentials from its activity logs.
12. Security
We use reasonable technical and organizational measures intended to protect information against unauthorized access, alteration, disclosure, or destruction.
Communication between the WooCommerce plugin and the SoftSquare Shipping Gateway is performed over HTTPS.
The plugin also uses signed requests between the merchant’s site and the SoftSquare service. The service connection uses a site-specific signing secret to authenticate subsequent requests.
However, no internet transmission or storage system can be guaranteed to be completely secure.
13. Cookies, Analytics and Tracking
The SoftSquare Shipping Gateway does not use the plugin to provide advertising or behavioral tracking.
The plugin does not intentionally send analytics, usage statistics, or telemetry to SoftSquare.
Public shipment tracking uses the consignment number supplied by the visitor to retrieve shipment information.
Your WordPress website may nevertheless use cookies, analytics, advertising tools, or other tracking technologies provided by WordPress, WooCommerce, your hosting provider, your theme, or other plugins.
Those technologies are governed by the applicable policies of those providers.
14. Merchant Responsibilities
The merchant is responsible for:
- Providing customers with appropriate privacy notices.
- Determining the lawful basis for processing customer information.
- Ensuring that customer information may legally be shared with SoftSquare and the relevant courier.
- Configuring the plugin appropriately.
- Protecting administrator accounts.
- Protecting TCS credentials.
- Maintaining appropriate backups.
- Complying with applicable data protection and privacy laws.
SoftSquare does not determine the merchant’s legal obligations regarding its customers.
15. Your Privacy Rights
Depending on your location and applicable law, you may have rights regarding personal information, including:
- The right to request access to personal information.
- The right to request correction of inaccurate information.
- The right to request deletion of information where legally applicable.
- The right to request restriction of processing.
- The right to object to certain processing.
- The right to request data portability where applicable.
- The right to withdraw consent where processing is based on consent.
Some information may need to be retained where required by law, necessary to provide the service, or necessary to establish or defend legal claims.
16. Data Deletion Requests
If you are a customer of a WooCommerce store using the SoftSquare Shipping Gateway, your first point of contact for requests concerning an order should normally be the merchant operating that store.
The merchant may need to coordinate with SoftSquare and other service providers where information has been transmitted for shipment processing.
Requests concerning information held directly by SoftSquare may be submitted using the contact details below.
17. International Data Transfers
Depending on the infrastructure used to provide the service, information may be processed or stored in countries other than the country where the merchant or customer is located.
Where applicable, SoftSquare will take reasonable measures intended to ensure that international transfers are handled in accordance with applicable data protection requirements.
18. Children’s Privacy
The SoftSquare Shipping Gateway is a business service and is not directed toward children.
We do not knowingly request personal information directly from children for the purpose of using the service.
19. Third-Party Services
The service may interact with third parties necessary to provide shipment and courier functionality, including TCS.
Third-party services operate under their own terms and privacy policies. SoftSquare does not control the privacy practices of independent third parties.
20. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes to the service, applicable laws, technology, or our data practices.
The updated policy will be published on this page with a revised Last Updated date.
